Registration Guidelines

All participants must Create an Account and register via the Online Registration Form. Please read the instructions below carefully.

Each participant will receive a Registration Number by email after the submission of the Online Registration Form. As for payments completed by bank transfer, please proceed with the payment only after receiving your registration number. Please do not send any payment by bank transfer without the registration number and participant’s name included in the payment details.

* Please note that in order to apply for a discounted member fee, your membership has to be valid within the conference dates. In case your membership is currently valid but is to be expired prior to the conference, it needs to be renewed before the registration process. Not an EES member? Join now!
*** Students must provide proof/student status of the University (e.g. pdf copy of original inscription at a University or attestation by a professor) in English. The participant must be a student during the duration of the conference or must be under 35 years of age.

All above fees include local 25 % VAT.

  1. Together with 1 year EES membership. EES membership for 1 year is 150,00 EUR (membership fee is free of VAT surcharge);
  2. Together with 1 year EES e-membership (Incl. Evaluation Journal online subscription only). EES e-membership for 1 year is 140,00 EUR (membership fee is free of VAT surcharge);
  3. Together with 2 year EES membership. EES membership for 2 years is 250,00 EUR (membership fee is free of VAT surcharge);
  4. Together with 2 year EES e-membership (Incl. Evaluation Journal online subscription only). EES e-membership for 2 year is 220,00 EUR (membership fee is free of VAT surcharge);
  • In order to qualify for the respective fee Individual/Institutional membership has to be valid until the end of October 2020.

Registration of EES Institutional members

The EES Institutional member can register up to 5 representatives and profit from the reduced registration fee for each registered representative. For registration within the EES Institutional membership please contact our secretariat at secretariat@europeanevaluation.org


EES Student membership conditions

The EES is a voluntary professional association which is supported mainly through its members’ contributions. The aim of the student membership reduced fee is to promote and support people doing studies in or related to evaluation and future/new evaluators.
The applicants interested in the Student membership category are kindly asked to provide the Conference Department (secretariat@europeanevaluation.org) with following information and documentation before subscribing the student fee:

  1. Name and contact details of the applicant
  2. Name of the University
  3. Type and name of the Study Programme
  4. Start of the Study Programme
  5. Duration of the Study Programme
  6. Contact person from the University, who can vouch for the student's status in the Study Program (reference or letter of recommendation)
  7. Proof/certificate of the student status from the University (e.g. pdf copy of original inscription at a University or attestation by a professor)
  8. One page statement written by the student on how the reported program and the student's studies are related to evaluation. This is mandatory if the Study program is not specific on evaluation.

Once all the conditions are met (the documentation is reviewed and approved by the EES) the applicant will be contacted by the EES Secretariat. If the application process was successful, the applicant will be asked to proceed with the online Student membership subscription. The Student members are entitled to the same benefits as the Individual members. The Student membership category is subject to annual review and can be applied for a period of maximum 3 years.

Travel and accommodation costs are not covered by the registration fee.

Please make sure to pay your registration fee before the deadline for the selected registration type. If your payment is not received before the deadline date, the later fee will be automatically applied. All registration deadlines are based on the local time of the Conference venue (CET/CEST).
Your registration will not be considered as complete until the payment is received.

Group Registrations

Group registrations cannot be processed online under one email address identification; each participant needs to have his/her own profile set up with a unique email address.
When registering more than ten persons under one company identity/invoice, please send e-mail to registration@ees2020.eu to determine the preferred invoicing setting.

Insurance

The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.
Confirmation
Each participant will receive the registration overview and email notification confirming the received payment and eventually state the amount outstanding after the completion of the Online Registration Form.

All fees should be paid in EUR (€), free of all bank charges.

Please make sure that the payment is free of all bank charges and participant’s name and Registration Number are clearly stated in the bank transfer.

Payments received without such details (name, Registration Number) cannot be identified.

The payment by bank transfer is available until 4 September 2020. After this date, all payments can be done only by credit/debit card.

Online Payment by Credit/Debit Card

In case of rejected on-line credit/debit card payment, the delegate is recommended to amend his registration online and try to process the payment again. Should the trouble with the payment persist, the participant is advised to contact the credit card issuer/bank first and check if the online transactions are not disabled on his credit card. Afterwards, the amendment of the registration can be processed again.

Final Invoice

The final invoice will be provided to the participants only upon request, the Secretariat will not send this document automatically. Please contact us to ask for your receipt.
The final invoice will be issued based on details provided while registering (step Contact/Invoice details). Any change of such details (address, VAT number etc.) is possible only within 3 days from the registering date and is subject to the 20 EUR fee.


Cancellation / Refund Policy

Cancellation of Registration

  • Until 16 July 2020 – 50 EUR administrative fees will be deducted from all refunds
  • From 17 July until 19 August 2020 – 50% of the fee will be refunded
  • From 20 August 2020 – no refund can be processed

Cancellation of Other Bookable Items

  • Until 19 August 2020 – 20 EUR – administrative fees will be deducted from all refunds
  • From 20 August 2020 – no refund can be processed

General Cancellation Conditions

  • All cancellations must be notified in writing (by email or by fax) to C-IN (Conference Secretariat) and cannot be done online or over the phone
  • Requests for refunds made after 25 September 2020 will not be considered
  • For any change of name, a fee of 20 EUR will be charged

The European General Data Protection Regulation (EU GDPR) entered into force as of 25 May 2018 and it involves some additions to data protection.
